Privacy policy
Snail Mail Club and Snail Mail Club Jr are run by Aleph Communications Ltd. in Alberta, Canada. We collect as little as we can, use it only to mail your letters, and remove it when we're done. Here's exactly what that means.
What we collect
- For each order: the recipient's name (for Club Jr, just the child's first name), their mailing address, who the gift is from (if you tell us), your email address for a confirmation, and any gift message you add. For orders by text message, phone or in person we may also note your phone number and a short note about the order, such as how you paid.
- Payments: card payments are handled by Square. We never see or store your card number. For e-Transfers, your bank sends us the sender's name and the amount.
- Waitlist: your email address, your name if you share it, and which club you're interested in.
We don't ask for ages, birthdays, or a child's email or phone number.
How we use it
- To address and mail your letters.
- To send you an order confirmation, and sometimes a short note when a letter is mailed.
- To let waitlist members know when sign-ups open.
That's all. We don't sell or rent your information, share it for marketing, or use it for advertising.
Club Jr and children's information
Club Jr letters are usually gifts from a grandparent, aunt, uncle or parent. For a child, we only keep their first name and the mailing address, so the letter reaches them. If a young person places an order themselves, we use the email they give only to confirm the order. A parent or guardian can contact us anytime to see, correct or delete a child's information.
Who can see it
- The small team that packs and mails the letters.
- Square, to process card payments, under Square's privacy notice.

How long we keep it
- Names, addresses, contact details and order notes are removed automatically 6 months after a subscription's last letter, or after a cancelled subscription's last planned letter.
- We keep a basic record of each order (the club, amount paid, and when letters were mailed) for our bookkeeping, without the name or address. [CONFIRM RECORD-KEEPING PERIOD WITH BOOKKEEPER]
- Waitlist emails are kept until we've let you know about the next round, or until you ask us to remove them.
Cookies
Our site uses only the cookies it needs to work securely: one that protects our forms, and one that keeps track of your visit. There are no advertising or tracking cookies, and no analytics. Our fonts load from Google Fonts, which means Google receives your browser's IP address when the page loads.
Your choices
You can ask to see the information we hold about you or a child you've ordered for, ask us to correct it, or ask us to delete it. Just email [CONFIRM PRIVACY CONTACT EMAIL] or call or text 780-290-0169 or 780-808-1334. If you have a concern we can't resolve, you can contact the Office of the Privacy Commissioner of Canada.
Changes
If we change this policy, we'll update it here and change the date at the top.
